This Privacy Policy (“Privacy Policy”) explains how we collect, use, disclose, and safeguard your information when you visit/use our Website. Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access the Website.

We reserve the right to make changes to this Privacy Policy at any time and for any reason. We will alert you about any changes by updating the “Last Updated” date of this Privacy Policy. Any changes or modifications will be effective immediately upon posting the updated Privacy Policy on the Website, and you waive the right to receive specific notice of each such change or modification.

The Policy does not apply to information collected by any third party that links to or is accessible from our Applications or Websites

By visiting and/or using our Services you agree to this Privacy Policy.

I. Applicability

  1. CUSTOMERS OR EVENT ORGANISERS: Customers would mean and include event planners, meeting space providers, etc. who are authorized to access and use our Platform and Applications and would include individuals who self-register themselves to access our Applications.
  2. DATA SUBJECT OR ATTENDEES: Data Subjects or Attendees are individuals that interact with our Customers through our Applications. These include our Customers’ current and prospective clients, members, attendees, sponsors, exhibitors or other business contacts. For example, Data Subjects include individuals that register for an event organized by a Customer, participate in a virtual event organized by a Customer, complete an online survey, etc.
  3. VISITORS: Individuals and prospective customers who access our Websites/Platform to read about Vosmos products and services or those whom we meet at any of our marketing events.

The Customers are organizations and businesses that use our Website to process personal data about their Data Subjects. Vosmos processes personal data about Data Subjects in our Applications as a “data processor” or “service provider” only according to our Customers’ instructions. If you are a Data Subject and have questions about how a Vosmos Customer uses your data or want to exercise your rights regarding your personal data, you should direct your request or inquiry to the Vosmos Customer that controls your data. For example, if you have attended an event hosted by a Vosmos Customer, you should direct your data rights requests to the host of your event.

II. Information Collection and Use

1. From Customers and Data Subjects
  • 1.1 Nature of data collected: Our Website allows our Customers to collect a variety of personal data from and about their Data Subjects, including name, organization, title, postal address, e-mail address, telephone number, fax number, credit or debit card number and other information.  Customers will also have access to information (including personal data and Application usage data) related to how Data Subject interacts with the Applications they use. In such instances, the Customers are the data controllers of the Data Subject’s personal data, under the European Economic Area (“EEA”) data protection laws.
  • 1.2 We collect personal data from our Customers in order to facilitate communication and delivery of the Applications that our Customers are interested in or contract us to provide. For example, we may collect Customer contact information, whether through the execution of a contract, use of our services, a form on our Website, an interaction with our sales or customer support team, sign up for an event, or a response to one of our surveys or marketing emails. We may also collect credit card information (e.g., credit card number and expiration date, billing address, etc.) or other customary bank information needed for billing and payment purposes.
  • 1.3 Vosmos cannot and does not take responsibility for the privacy practices of the Customers. We encourage Data Subjects to review the Customers’ privacy policies to further understand the types of data collected by the Customers.
  • 1.4 We may record Customer and Visitor phone calls, video calls, teleconferences and web conferences (including audio and video content) for legitimate business interests related to providing Customer support, compliance with laws, training and coaching, process improvement, and quality assurance. We may analyze the content of our calls using data analytics tools to gain better insights into our interactions with customers.
  • 1.5 We process Customer’s and their Data Subjects’ personal data in the following manner:
    • (a) To disclose to our subsidiaries and affiliates for the purpose of providing services to our Customers and their Customer Data Subjects.
    • (b) To deliver the services that our Customer has contracted us to provide through our Applications. Some examples include:
    • (c) If a Data Subject uses one of our Applications to register for an event, we will use their provided e-mail address to send them information and announcements relating to that event.
    • (d) If a Data Subject uses one of our Applications to pay for event registration fees or other products and services using their credit cards, we will pass the credit card information to payment card processors to validate the payment information and complete the transactions.
    • (e) When a Customer reserves a meeting space Vosmos will share necessary personal data with the venue directly or via that venue’s technology platform, in order to complete the booking directly with the Customer.
    • (f) For our internal business purposes that include administering access and use of our Applications, data analysis, securely identifying Customers upon logging onto an Application, enhancing or modifying our Applications, determining the effectiveness of our promotional campaigns, billing for Services, and operating our business.
  • 1.6 For individuals that are from the European Economic Area (EEA) or other regions that stipulate a lawful basis for processing personal information (such as under GDPR), our legal basis for collecting and using their personal information will depend on the nature and circumstances of the processing activity.
2. From Visitors

Vosmos collects personal data including name, title, postal address, e-mail address, telephone number, organization details, etc.  from the Visitors. We may collect this Visitor information directly from the Visitor through a form on our Website, an interaction with our sales or customer support team, when signing up for an event, contest entries, promotional enquiries, or a through a response to one of our surveys or marketing emails.

When visiting our Websites, attending marketing events or providing us with their personal information, Visitors consent to the collection, processing and storage of their personal information as described in this section.

We use this data to improve our Websites and advertising, and to identify prospective marketing opportunities, create promotional programs, respond to inquiries, etc.

Vosmos may share information with third party service providers contracted to provide services on our behalf as well as third parties who resell Vosmos services. Vosmos will only share personal data of Visitors or Customers who attend a marketing event with third parties if (a) the Visitor consents, (b) the Visitor permits their I-card to be scanned, or (c) it is permissible under applicable law.

III. Cookies and Other Technologies

We use cookies to measure and analyze how the Customer uses the Services. This allows us to continuously improve the Website and the Customer experience. When browsing online the Website will remember the preferences user makes (for example username, language or location of the user). This makes the browsing experience simpler, easier, and personal. These cookies are also used to deliver only relevant promotional materials. By using Vosmos Services, user agrees that cookies will be placed on user’s device and access them when they visit services in the future. If you want to delete any cookies that are already on your computer you may then refer to the help section of your internet browser.

We use and may allow others to use cookies and similar technologies (e.g., web beacons, pixels, SDKs) to recognize you and/or your device(s).

Some web browsers (including Safari, Internet Explorer, Firefox and Chrome) have a “Do Not Track” (“DNT”) feature that tells a website that the user does not want to have his or her online activity tracked. If a website that responds to a DNT signal receives a DNT signal, the browser can block that website from collecting certain information about the browser’s user. Not all browsers offer a DNT option and DNT signals are not yet uniform. For this reason, many businesses, including Vosmos, do not currently respond to DNT signals.

IV. Transfer of Data outside India

We may transfer your Data to recipients in India and other countries. These countries may not have the same data protection laws as the country in which you initially provided the information. If we transfer your Data to other countries, we will protect that information as described in this Privacy Notice, as disclosed to you at the time of data collection or as described in our program-specific privacy notice.

If the GDPR/United Kingdom’s version of the GDPR applies to our processing of your Data, we will only process and/or transfer Data outside of the European Economic Area/United Kingdom where it is compliant with data protection laws and the means of transfer provides adequate safeguards in relation to your Data, including for example:

  • (a) by way of a data transfer agreement incorporating the current relevant standard contractual clauses adopted in the European Economic Area/United Kingdom; or
  • (b) by transferring your Data to a country where there has been a finding of adequacy by the European Commission in respect of that country’s levels of data protection via its legislation; or
  • (c) where it is necessary for the conclusion or performance of a contract between us and a third party and the transfer is in your interests for the purposes of that contract; or
  • (d) where you have consented to the data transfer.

V. Disclosure of Information

Information is disclosed in the below mentioned scenarios: -

1. Third Parties
  • (a) We may share your information with third parties that perform services for us or on our behalf, including payment processing, data analysis, maintenance, email delivery, hosting services, customer service security operations and marketing assistance.
  • (b) We may use third-party advertising companies to serve ads when you visit the Website. These companies may use information about your visits to the Website and other websites that are contained in web cookies in order to provide advertisements about goods and services.
  • (c) We may share your information with advertisers and investors for the purpose of conducting general business analysis.
  • (d) Our appointed auditors, accountants, lawyers and other professional advisors (e.g. compliance consultants), to the extent that they require access to the information in order to advise us.

We follow a strict vetting process prior to engaging any third party or working with any auditor, accountant, lawyer and other professional advisors. They must agree to strict confidentiality obligations.

2. Corporate Transactions

We may transfer user information if we are involved, whether in whole or in part, in a merger, sale, acquisition, divestiture, restructuring, reorganization, dissolution, bankruptcy or other change of ownership or control.

3. With law enforcement agencies / when required by law

We may disclose user information if reasonably necessary: (i) to comply with a legal process, such as a court order, subpoena or search warrant, government / law enforcement investigation or other legal requirements; (ii) to assist in the prevention or detection of crime (subject in each case to applicable law); or (iii) to protect the safety of any person.

4. Enforcement of Legal rights

We may also share information: (i) if disclosure would mitigate our liability in an actual or threatened lawsuit; (ii) as necessary to protect our legal rights and legal rights of our members, business partners or other interested parties; (iii) to enforce our agreements with you; and (iv) to investigate, prevent, or take other action regarding illegal activity, suspected fraud or other wrongdoing.

5. User Consent or request

We may ask for User’s consent to share User information with third parties and inform you the reason for the same.

We may use and share non-personal information (meaning information that, by itself, does not identify who you are such as device information, general demographics, general behavioural data, geolocation in de-identified form), as well as personal information in hashed, non-human readable form, under any of the above circumstances. We may also share this information with our Other Group companies and third parties (notably advertisers) to develop and deliver targeted advertising on our services and on websites or applications of third parties, and to analyze and report on advertising you see. We may combine this information with additional non-personal information or personal information in hashed, non-human readable form collected from other sources.

6. Third party websites, applications, and integrations.

The Services include links to third-party websites and applications as well as to integration and partner providers of services associated with a particular event.

Clicking on links to third party websites, content, applications, or integrations may allow those third parties to collect or share data about you. We do not control those third-party websites or content and are not responsible for their privacy policies or the way in which they collect or use your data.

Where you access or use third party services or integrations provided by an event organizer, advertiser, sponsor or any other party who participates in an event, we encourage you to request details of and read the privacy policy of that party.

VI. Keeping Data Secure

We will use technical and organizational measures to safeguard your Data and we store your Data on secure servers. Technical and organizational measures include measures to deal with any suspected data breach. If you suspect any misuse or loss or unauthorized access to your Data, please let us know immediately by contacting us by e-mail.

VII. Retention of Information

We retain information for as long as necessary for the use of our products and/or services or to provide access to and use of our website or mobile application, or for other essential purposes such as complying with our legal obligations, resolving disputes, enforcing our agreements and as long as processing and retaining your information is necessary for our legitimate interests. As these needs can vary for different data types and purposes, actual retention periods can vary significantly.

VIII. User Rights

The following rights shall be available to the User: -

1. Access / Update tools in the service. Tools and account settings can help you access, rectify or remove information that you provided to us and that is associated with User account directly within the service. If you have any question on those tools and settings, please contact the Grievance Officer, whose details are provided in Clause G of this Policy.

2. Device permissions. Digital Platforms can have permission systems for specific types of device data and notifications such as phone contacts, pictures, location services, push notifications and advertising identifiers. You can change User settings on device to either consent or oppose the collection or processing of the corresponding information or the display of the corresponding notifications. However, certain services may lose functionality.
Additionally, certain key points pertinent to the User are enumerated below:

a. Review of User information. Applicable privacy laws may give you the right to review the personal information we keep about you (depending on the jurisdiction this may be called right of access, right of portability, right to know or variations of those terms). You can exercise this right by contacting the Grievance Officer, whose details are provided in Clause X of this Policy.

b. Updating User information. If you believe that the information we hold about you is inaccurate or that we are no longer entitled to use it and want to request its rectification, deletion, object to or restrict its processing then please contact the Grievance Officer, whose details are provided in Clause X of this Policy.

IX. Children's Privacy

Our Services do not address anyone under the age of 13. We do not knowingly collect personal identifiable information from children under 13. In the case we discover that a child under 13 has provided us with personal information we immediately delete such information from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to take necessary actions.
